WhatsApp Business: Why It Matters More in Spain Than Almost Anywhere Else

Ask anyone who has lived in Spain for more than a few months and they will tell you: things happen on WhatsApp. Restaurant bookings, appointments with the gestor, quotes from builders, school updates, community announcements — almost everything runs through it. For many Spanish and expat customers, a phone number without WhatsApp feels slightly old-fashioned.

That makes WhatsApp Business one of the most important, and most underused, marketing tools for small businesses on the Costa Blanca and Costa Cálida. It is equally valuable for UK and Irish businesses serving customers who prefer messaging to phone calls.

WhatsApp vs WhatsApp Business

The standard WhatsApp app is built for personal use. WhatsApp Business is a free, separate app designed for small businesses. It adds:

  • A business profile with your address, opening hours, website, email and description.
  • A product or service catalogue customers can browse inside the chat.
  • Quick replies — saved answers to common questions you can send with a shortcut.
  • Greeting and away messages that send automatically.
  • Labels to organise chats (new enquiry, quote sent, booked, paid).
  • Short links and QR codes that open a chat with you directly.

You can run WhatsApp Business on the same phone as your personal WhatsApp, using a separate number. We strongly recommend keeping business and personal chats apart.

Setting it up properly

  1. Use a dedicated business number. A Spanish mobile number signals that you are local; a UK number can work if you serve UK clients. Some businesses use one of each.
  2. Complete every field in the profile. Customers check your profile before they message. Add your logo, a clear description and accurate opening hours.
  3. Build your catalogue. Even service businesses can list packages — “Pool clean, weekly”, “Website starter package”, “Gel manicure” — with prices or “from” prices.
  4. Write a greeting message. Something like: “Hello and thanks for getting in touch! We usually reply within two hours during opening times. Hola, gracias por escribirnos.” Bilingual greetings work well in mixed communities.
  5. Set an away message for evenings and weekends so customers know when to expect a reply.

Quick replies save hours every week

Make a list of the ten questions you answer most often: prices, availability, location, what to bring, how to pay. Write a clear answer for each and save it as a quick reply. Typing “/prices” and sending a polished answer in two seconds feels like magic after years of retyping the same message.

Put WhatsApp everywhere your customers are

  • Add a click-to-chat button to your website, especially on mobile.
  • Put your WhatsApp QR code on flyers, business cards, van signage and shop windows.
  • Add a WhatsApp button to your Facebook and Instagram profiles.
  • Use click-to-WhatsApp adverts on Facebook and Instagram, which open a chat instead of sending people to a website.

Status updates: the forgotten feature

WhatsApp Status works like Instagram Stories, and it is seen by people who have your number saved. For businesses with a loyal local customer base — cafés, salons, butchers, bakeries — posting daily specials or available appointments to Status can quietly drive a surprising amount of trade.

Broadcast lists and channels

Broadcast lists let you send one message to many contacts individually, but only people who have saved your number will receive it. Use them sparingly and only for customers who have asked to hear from you — nobody wants promotional spam on their personal messaging app. Remember that data protection rules apply to marketing messages; our guide to GDPR and email marketing covers the principles, which apply to messaging too.

Protecting your time

The flip side of WhatsApp is that customers can expect instant replies at all hours. Protect yourself by:

  • Setting clear response times in your greeting and profile.
  • Using away messages outside working hours.
  • Turning off notifications for the business app in the evening.
  • Moving complex enquiries to a call or email when needed.

When to consider the WhatsApp Business Platform

If you handle large volumes of messages, have several staff answering chats, or want to connect WhatsApp to a CRM, the WhatsApp Business Platform (sometimes called the API) is the next step up. It is usually accessed through a third-party provider and involves per-conversation fees. For most small businesses, the free app is more than enough. Our guide to choosing a CRM explains when it is worth connecting your messaging to a proper system.

Make it part of your marketing

WhatsApp is not just a support tool — it is often the final step between someone seeing your post and becoming a customer. Making that step easy, friendly and fast can noticeably lift your conversion rate.
